1. Acceptance of Terms

These Terms of Service (“Terms”) govern your access to and use of PodGrid Studios’ services, including studio bookings, on-site facilities, equipment, staff assistance, and any deliverables provided in connection with your session (“Services”). By booking, entering the premises, or using the Services, you agree to be bound by these Terms.

If you are booking on behalf of a business, team, or organization, you represent that you have authority to bind that entity and that the entity accepts these Terms.

Definitions
  • “You” means the booking party and all attendees.
  • “Session” means the booked time window, including setup/tear-down unless otherwise stated.
  • “Deliverables” means files, exports, or physical media provided to you.

2. Bookings & Session Logistics

Bookings are confirmed when we acknowledge your requested date/time and, where applicable, your deposit or payment has been received. We may decline or reschedule requests due to availability, maintenance, safety, or staffing.

  • Arrival and duration: Your session starts and ends at the scheduled times. Late arrival reduces session time and does not reduce fees.
  • Attendees: You must disclose expected headcount. We may limit attendees for safety, noise, or space constraints.
  • Minors: Attendees under 18 must be accompanied by a parent or legal guardian, unless we provide written approval.
  • House rules: You agree to follow posted policies and staff instructions, including emergency and security procedures.
Noise & neighbors
Respect local regulations and building guidelines. Persistent violations may end the session early without refund.

3. Fees, Deposits & Payments

Pricing may include hourly rates, package rates, add-ons (e.g., engineer support), overtime, and replacement costs for lost/damaged items. Applicable taxes may apply based on jurisdiction.

  • Deposits: We may require a deposit to reserve time. Deposits are credited to your total unless otherwise stated.
  • Payment timing: Remaining balances are due by session start unless otherwise agreed in writing.
  • Overtime: Time beyond the scheduled session may be billed in increments, subject to availability.
  • Chargebacks: If you dispute a charge without first contacting us to resolve it, we may suspend future bookings until resolved.
Invoice delivery
If you need an invoice addressed to a business entity, provide billing details before the session.

4. Cancellations, Rescheduling & No‑Shows

Because studio time is reserved exclusively for you, cancellations and reschedules may incur fees depending on timing and scope. These policies help cover staffing and opportunity costs.

Exceptions may apply for building closures, safety concerns, or force majeure. If we must cancel, we will offer rescheduling or a refund of amounts paid for the canceled session.

5. Acceptable Use & On‑Site Conduct

You agree to use the studio, facilities, and Services safely and lawfully. We may end a session immediately if conduct creates safety risk, violates law, or damages property.

  • No harassment, threats, or discriminatory conduct.
  • No illegal content production or distribution on premises.
  • No tampering with building systems, network gear, power distribution, or safety devices.
  • Follow staff directions regarding sound levels, cabling, and load-in/out.
  • Do not bring hazardous materials, weapons, or open flames.
Right to refuse service
We may refuse or discontinue service to protect staff, customers, and property, or to comply with legal obligations.

6. Recordings, Content & Intellectual Property

You are responsible for ensuring you have all rights, permissions, and releases needed to record, publish, distribute, or monetize your content (including music, voices, likenesses, and third‑party materials).

  • Your content: You retain ownership of your content. We do not claim ownership of your recordings.
  • Our assets: Studio branding, templates, and any pre-existing materials remain ours unless licensed to you in writing.
  • Backups: Unless explicitly purchased as an add-on, we do not guarantee ongoing storage of raw session files. Export and verify deliverables before leaving.
Release checklist (recommended)
  • Guest consent for recording and distribution
  • Music licensing / sync permissions when applicable
  • Location release (if you film outside the studio as part of a package)
  • Talent release for minors signed by a guardian

7. Equipment, Safety & Damage

You agree to use equipment and facilities with reasonable care. You are responsible for your attendees and for any loss, theft, or damage caused by you or your party beyond normal wear.

  • Do not move or rewire racks, patch bays, power distribution, or mounted fixtures without staff approval.
  • Food and beverages may be restricted in certain areas; follow posted signage and staff guidance.
  • If equipment malfunctions, notify staff immediately. Do not attempt repairs.
Security & lost items
You are responsible for personal property. If you forget something, contact us promptly; we cannot guarantee retrieval.

8. Disclaimers & Limitation of Liability

To the maximum extent permitted by law, the Services are provided “as is” and “as available.” We do not warrant uninterrupted availability, error-free operation, or that deliverables will meet specific technical requirements unless agreed in writing.

  • Indirect damages: We are not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost revenue, or loss of data.
  • Cap: Our total liability for any claim related to a session is limited to the amounts you paid us for that session.
  • Third parties: We are not responsible for third‑party platforms or distribution channels you choose for your content.
Indemnity
You agree to defend, indemnify, and hold PodGrid Studios harmless from claims arising from your content, your breach of these Terms, or your negligence/misconduct.

9. Privacy & Cookies

We use essential cookies and local storage to provide core site features such as theme preference and cookie consent. Optional cookies may be used for analytics to improve experience.

Transparency

10. Changes to These Terms

Continued use of the Services after changes become effective constitutes acceptance of the updated Terms.
